Timecards
How to approve, decline or delete a timecard
1. Click "Timesheets"

2. Click "Details"

3. Click "Approve" "Decline" to process the timecard.

Manual timecards can also be deleted by using the "Delete" option from the more icon on the Decline button. Timecards for Planned shifts cannot be deleted. The shift must be Deleted or marked AWOL in the roster view.

5. The timecard has been processed.
If approved, it will have moved to the Approved tab.
If declined, it will remain on the active tab. Filters may need to be removed for it to show.

Edit and approve an employee's timecard
1. Navigate to https://app-dev.raspsoftware.com/admin/employees

2. Click "Timesheets"

3. Go to the timesheets module.

4. Use the filters, data range selector, and Filter by employee to locate the timesheet you want to manage.

5. Once you have located the Timecard. Click Details.

6. This opens the Timecard details view

Timecards that have been generated by the roster will have a "Planned" card which are the details of the shift as it was scheduled.
If the Employee has modified the timecard, or if it is a manual timecard, an "Actuals" card will display beneath the planned details to highlight the variations.
7. Timecard details in the Admin app display both the Shift History and Timecard history if either have been modified.

8. You can click on the Edit Timecard to edit the full timecard details including the start and end times, main role(s) and location for the shift.

9. If you only need to add/edit work details you can also use the "Edit Work Details" option.

Work details should be a comprehensive record of the roles performed for the specified hours as they are interpreted by the pay rules engine to calculate payments and allowances for those hours.
10. Multiple roles can be added for each work detail line and multiple lines can be added as needed.

The validation bar will ensure that you don't exceed the total shift duration for work details.
11. Apply any Tags as needed.

ags are Rasp's way to standardise data that can be added to timesheets so it can be used for payroll rules or reporting. Tags are set for the Organisation in Settings > Tags.
12. Add a comment if required.

13. Click "Save and Approve".

14. The approved timecard will now display in the Approved tab.

Approved Timecards can still be edited by Admins until they are batch for payment.
How to create and approve a manual timecard on behalf of an employee
Overview
This section provides a step-by-step guide on how to enter a timecard on behalf of an employee for both unplanned and planned work scenarios.
For unplanned work, you will manually add a new entry.
For planned work, the process involves confirming and if required, editing details from a rostered shift. Follow the detailed instructions below to ensure accurate and efficient timecard entries.
Creating a Manual Timecard
1. Click "Timesheets"

2. Click "Add New Entry"

3. Click "Timecard"

4. Search for an select the employee.

5. Enter the timecard details.

6. Click "Add Work Detail" if you need to record work done in different roles or locations to those set above.

The work details are used to identify portions of the shift worked in alternative roles or locations. These entries override the corresponding number of hours for the role/location defined above.
7. Complete the work details.

Additional work details can be added by clicking Add Work Detail again. Work Detail rows can be removed by clicking on the trashcan icon to the right.
8. Add an "Admin Comment" if required (optional).

9. Click "Save & Approve"

10. The Timecard has been created and can be viewed in the "Approved" tab.

11. Click details to view the Approved timecard.

12. Click here.
